Job Title: Records Coordinator

Status: Full-Time

Position Summary

The Records Coordinator supports the organization’s records program by organizing, maintaining, preserving, and providing access to both physical and electronic records. This role works closely with the Records Manager and other stakeholders to ensure compliance with applicable policies, legal requirements, and best practices in records management.

Key Responsibilities

  • Identify, sort, label, digitize, describe, and assess records for preservation and access
  • Interpret policies and legal documentation, including retention schedules, laws, and bulletins
  • Collaborate with the Records Manager and subject matter experts to conduct research, develop research aids, and compile reports and business process documentation
  • Assist with records retention and disposition processes
  • Utilize Laserfiche Cloud for electronic and physical records management, e-forms, workflow automation, reporting, and system testing
  • Perform conservation tasks such as cleaning, re-boxing, and stabilizing records
  • Provide clerical and customer service support, including:
  • Answering phones
  • Assisting the public and staff with records requests and research inquiries (in person, by phone, or via email)
  • Retrieving, duplicating, and re-shelving records in both physical and electronic formats

  • Proficiency with computers and standard office software
  • Excellent verbal and written communication skills
  • Ability to manage multiple tasks and priorities effectively
  • Strong time management skills
  • Ability to work independently and collaboratively within a team environment

Physical Requirements

  • Ability to occasionally climb ladders or stairs to retrieve records or perform maintenance tasks
  • Ability to work in confined or irregular spaces such as attics or basements
  • Ability to regularly lift, carry, or move boxes weighing up to 35 pounds, and occasionally up to 50 pounds
  • Ability to perform physical activities such as stooping, kneeling, crouching, crawling, reaching, grasping, twisting, and pushing or pulling
  • Ability to operate a computer and standard office equipment continuously
  • Ability to maintain close visual acuity for tasks such as data analysis, reading, and computer work, sometimes in low-light environments
  • Ability to stand or walk on concrete floors for extended periods
  • Ability to work in environments requiring personal protective equipment (PPE), including respirators or dust masks, particularly in dusty or mold-affected areas

Work Environment

This position may involve working in office settings, records storage areas, and locations with varying environmental conditions, including dust, limited lighting, and temperature fluctuations.
